An office move has many small dependencies: access, equipment, people and sequence. One shared plan and clear labelling make it possible to move without losing sight of what must work first.

The essentials, in brief.

  • Choose one coordinator and maintain a shared timeline.
  • Create inventory and label for the destination in the new office.
  • Plan access and sequence for the most important workstations.

01 · Assign responsibility

Give the coordination a clear owner.

Choose one person to maintain the plan and answer questions. Agree who holds the keys, controls access to both offices and stays in contact with the people helping with the move.

Create a simple timeline covering the final working day, packing, transport and the order in which workstations should reopen. Share it with everyone affected in good time.

02 · Create inventory

Map the furniture, equipment and boxes.

Record desks, chairs, screens, boxes and other equipment. Note especially heavy, large or fragile parts and decide what will not move.

Use the inventory to assess transport and confirm that the important items arrive. Sensitive documents and particularly valuable equipment should have a separate agreed handling process.

03 · Label equipment

Make every label point to the new place.

Give rooms, zones or workstations a simple name or number. Label furniture, boxes and equipment with their destination in the new office.

Keep cables, power supplies and accessories together with their equipment. Photograph connections before dismantling a workstation.

  • On the boxWrite the destination and a short description of the contents.
  • On equipmentUse labels that can be removed without damaging the surface.
  • In the planPrioritise the workstations that need to function first.

04 · Plan the day

Make access and sequence clear on the day.

Make sure lifts, gates and required access routes are available. Keep both addresses staffed and communicate any change to the schedule or access.

Start with the areas that must become operational first. When transport is complete, use the inventory for a shared check before removing labels and packing materials.

Ready for moving day?

One final review.

  • The coordinator, keys and contacts are agreed.
  • The inventory covers furniture, equipment and boxes.
  • Everything is labelled with its new destination.
  • Cables and accessories stay with their equipment.
  • Sequence and access are confirmed for moving day.
